What is the First Day Reporting (FDR) email?
The FDR email is sent to the Recruiting Manager (RM) to confirm that all pre-employment checks are complete and HR Shared Services (HRSS) now require the candidate's FDR information.
What information does the FDR email request?
The email will ask the RM for the following information:
- Start Date
- Time
- Report to Contact
- New Line Manager Name
- New Line Manager Employee Number
- New Line Manager Email Address
- Does the New Line Manager require ESR Supervisor Self Service access?
- Will the employee have line manager responsibility?
- Directorate
- Department
- Personal email address
- End date of Fixed Term Contract or Secondment agreement (if applicable)
When is the FDR email sent?
The FDR email is sent once the candidate has moved into the 'Employment Checks OK' section in Trac and upon completion of a review of the candidate's immigration status.
Should this review not require approval from Corporate HR to start in role the FDR email will be sent two working days from when the candidate has moved into the 'Employment Checks OK' section in Trac.
HRSS will also copy the new Corporate Inductions team (nhsbsa.nhsinductions@nhs.net) into the current external Employment Checks Complete emails, including clear instructions within the email that the Corporate Inductions team are to be copied in to responses regarding the new starters starting/first day information.
Should the review of the candidate's immigration status require approval from Corporate HR to start in post, the FDR email will be sent once this confirmation is received.
HRSS will request approval to start in post from Corporate HR if the candidate’s immigration or Right to Work (RTW) is listed as any of the below:
- Postgraduate Doctors and Dentists
- Student Visa - applying for a part-time or bank position
- Student Visa - applying for a full-time position
- Dependant / Spouse Visa
- ILTR
- (WP/Tier 2) Work permit, Tier 2 or Skilled Work visa
Or:
- The RTW seen is a ‘Biometric Immigration Document’
- The candidates nationality/ethnic origin shown in the ‘App form: Equal opportunities’ tab in Trac, is not British or Irish.
