The 'Verification of Identity and Right to Work in the UK' guidance document details what Identity (ID) and Right to Work (RTW) documentation can be accepted.
HR Shared Services (HRSS) are guided by the check standards of NHS Employers, available on the NHS Employers website.
Any uncertainty on whether a document can be accepted should be queried directly with the Corporate HR team.
Please be aware that for any documents being used as proof of address, you cannot accept two documents from the same provider. For example, gas and electricity bills from the same company.
When will the 'Verification of Identity and Right to Work in the UK’ document be received?
A candidate will initially receive the 'Verification of Identity and Right to Work in the UK' guidance document when they receive an invite to Interview.
A Recruiting Manager (RM) will have access to this document once they receive the notification to confirm the Interview Pack is ready to download.
Verifying EU Settlement Status
The process of verifying a candidate’s EU Settlement Status should ideally be done during the interview stage.
However, if this is not possible, the Recruiting Manager (RM) will need to follow the below steps to verify a candidate’s EU Settlement Status.
Please note, this will need to be completed with the candidate either via a video call or in a face-to-face meeting.
- Go to https://www.gov.uk/check-immigration-statusand select 'Start Now'
- Enter the Share Code provided by the applicant. These may be time sensitive,therefore it is recommended for the applicant to generate the sharecode whilst on the call or during the face-to-face meeting.
- Enter the applicant's Date of Birth.
- Enter your Job Title and the Organisations name (as the person doing the check)
- Enter why you are checking this person's status. This will be 'Other' and the reason could be 'Checking Right to Work'.
- This should then display a screen which will have an image of the person and a statement to confirm if they have settled or pre-settled status.
- You will need to download the document as a PDF, verify, date and sign the document and upload to Trac.
