The Full Time Equivalent (FTE) / Whole Time Equivalent (WTE) is calculated by dividing the number of required hours for the role by the whole time equivalent (37.5 hours).

The FTE / WTE entered in Trac must be less than or equal to the FTE / WTE against the position number in the Electronic Staff Record (ESR).

Below are examples of how different working patterns should be calculated;

  • One part-time employee required for 7.5 hours per week.

    7.5 (required hours) / 37.5 (full time equivalent) = 0.2

    The required FTE / WTE would be 0.2.


  • Multiple part-time employees each required for 18 hours per week.

    3 (persons) x 18 (hours per person) = 54 (hours per week collectively)

    54 / 37.5 = 1.44

    The require FTE / WTE would be 1.44


  • Medical and Dental roles

         Medical and Dental roles are measured in sessions / planned activities (PA)

         1 Session / PA = 4 hours - The required FTE / WTE would be 0.1

         10  Sessions / PA = 40 hours - The required FTE / WTE would be 1.
